Position Summary
Northern Virginia Family Service (NVFS) is the provider for the Rental Subsidy & Services Program (RSSP), an integral component of the Fairfax County’s Housing & Community Development initiative and will provide long-term rental subsidies to homeless individuals, families and households on the county’s affordable housing waiting lists. Services offered will focus on populations of greatest need in the county with an emphasis on those who are homeless and persons with disabilities. In addition to providing rental subsidies to eligible households, other components of the RSSP Program will include providing services that assist clients in achieving self-sufficiency including case management, housing location, employment, SSA benefits, and critical-time intervention all while focusing on an equity lens. The Intake Coordinator performs complex and confidential administrative-related functions to ensure operations flow smoothly within the program. The Coordinator will provide essential coordination with the referring agency and provide quality customer service to RSSP landlords, partners and participants. This is a part-time position working mostly remotely 30 hours/week while providing some essential services which may require occasional in-person and/or in-office work. In accordance with President Biden’s COVID-19 Action Plan, and as part of our continued efforts to maintain a safe workplace for employees and clients, NVFS will require all employees to be fully vaccinated with an approved COVID-19 vaccination or show proof of negative COVID-19 test results weekly. This policy goes into effect November 1, 2021 and this position is subject to these requirements. Essential Job Duties: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Conduct comprehensive initial screening process to determine eligibility for program services, providing intake and enrollment where appropriate. Interview clients, explain application procedures and assist individuals in completing application forms for eligibility. Gather, verify, evaluate, and submit necessary social, financial, and medical information to determine program eligibility. Explain and interpret agency policy, procedures, and guidelines to clients and other individuals. Inform clients of their rights and procedures for appeal. Conduct phone follow-up, if no response from client referral. Maintain client files in accordance with program requirements and NVFS guidelines. Maintain current level of knowledge on program software and other information on housing assistance programs. Comply with the Standard and Ethics for Housing Counseling. Responsible for maintaining certification CEUs if certified. Maintain and perform data entry to ensure that clients are unduplicated. Ensure maintenance and integrity of database. Attend County Client Referral meetings as needed. Participate in regular supervision conferences with Supervisor and provide regular updates. Remain current on knowledge of standards and other program-related information. Enter data for record keeping and reporting to meet relevant guidelines. Qualification and Additional Requirements: An individual may obtain skills through a variety of professional, personal, educational, and volunteer experiences. The requirements listed below are representative of the knowledge, skills, and/or abilities required to perform essential job duties. Bachelor’s degree preferred At least two (2) years related work experience in administrative support preferred Experience providing direct services to individuals in crisis strongly preferred. Oral and written fluency in English required; additional language skills always welcome. Comfort with heavy phone usage and in-person contact. Ability to communicate respectfully, clearly, effectively, tactfully and patiently in-person and on the phone to a diverse population. Organizational skills with high level of attention to detail. Proficiency in usage of basic technological tools including laptops/computers, email, phones, and internet required. Working knowledge of Microsoft Office Suite required. Must be able to demonstrate and live the organizational values of Communication, Integrity, Respect, Collaboration, and Accountability. Successful completion of background checks required upon hire.
